Information we collect

Apollo Advisors° collects information that is reasonably necessary to operate its website, deliver services, administer commercial relationships, improve the experience of clients and users, and meet legal and operational obligations.

You may provide information directly when you contact Apollo Advisors°, complete a form, register for a workshop or course, subscribe to updates, request a proposal, book a consultation, create an account, make a purchase, or otherwise communicate with the business.

Contact details

This may include your name, email address, phone number, job title, company name, and other details needed to respond to your enquiry or manage an ongoing relationship.

Business information

Apollo Advisors° may collect information about your organisation, growth goals, operational challenges, product stack, commercial requirements, and other contextual information relevant to consulting, advisory, education, or SaaS services.

Forms

When you submit website or intake forms, Apollo Advisors° may collect the information you choose to include, including free-text responses, attachments, scheduling preferences, and service-related context.

Newsletter subscriptions

If you subscribe to a newsletter or updates list, Apollo Advisors° may collect your email address, name, subscription preferences, and engagement signals such as opens or clicks where those analytics are enabled by the email platform.

Workshop registrations

For workshops or live sessions, Apollo Advisors° may collect attendee names, business details, billing details, attendance records, dietary or access requirements where volunteered, and other logistics needed to run the event.

Course registrations

For courses or educational products, Apollo Advisors° may collect enrolment details, account information, progress-related information, support queries, and billing information necessary to provide access and maintain course operations.

Founder account context

When you create an Apollo account, you may choose to provide founder profile, company context, current priorities, learning goals, areas of focus, and an Apollo Founder Lifecycle stage. Apollo uses this private account context to preserve your setup, administer Apollo Learn enrolment, and improve future relevance. Optional context can be left blank or changed later.

Communications

Apollo Advisors° may keep records of emails, messages, calls, support requests, feedback, and other communications for service continuity, relationship management, training, quality review, and dispute resolution.

Learning and cohort state

Apollo stores account-scoped enrolment, course waitlist preferences, explicit learning and reflection milestones, completed practices, private Learning Notes, saved items, collections, recent activity, Founder App exploration milestones, optional Grow capstone status, cohort membership, attendance, homework, and feedback when you use those features. Founder App exploration records that an application page was opened; it is not treated as proof of product use or business capability. Learning Notes, collection names, and private cohort resources are not included in public search or marketing analytics.

For visitors who are not signed in, a guide may store the furthest reading position in that browser's local storage. This device-local reading position is not curriculum completion, is not sent to Apollo as account progress, and can be removed through browser storage controls.

Information collected automatically

When you use the website or digital services, some information may be collected automatically through browser technologies, platform logs, and analytics tools.

Cookies

Cookies and similar technologies may be used to remember preferences, maintain session integrity, improve usability, measure audience behaviour, and support security and performance monitoring.

Analytics

Apollo uses Vercel Analytics for traffic, route usage, performance, and Web Vitals. Optional Google Analytics is loaded only after analytics consent is granted. Apollo does not send Learning Note text, current-challenge text, email addresses, names, company names, private collection names, or private cohort content to these analytics services.

Device information

This may include browser type, device type, operating system, language settings, referring pages, approximate location derived from IP address, and general interaction data.

Log files

Servers and infrastructure providers may maintain logs containing IP addresses, timestamps, requested URLs, status codes, and related diagnostic data to support security, troubleshooting, and service reliability.

How we use information

Apollo Advisors° uses collected information only where there is a legitimate business need, a contractual need, a legal obligation, consent, or another lawful basis to do so.

Provide services

Information is used to deliver consulting, advisory, digital product, workshop, course, and SaaS services, including onboarding, account administration, billing, fulfilment, and support.

Respond to enquiries

Apollo Advisors° uses your details to respond to contact requests, proposals, demos, support questions, speaking opportunities, workshop enquiries, and other business communications.

Improve products

Information may be used to improve website performance, customer experience, service design, course materials, product features, reporting, and internal workflows.

Marketing communications

Where permitted by law, Apollo Advisors° may send updates about services, content, events, workshops, courses, or insights that may be relevant to you. You can opt out of marketing communications at any time.

Security

Information may be used to detect suspicious activity, protect accounts, enforce platform rules, prevent misuse, investigate incidents, and maintain the integrity of systems and data.

Sharing information

Apollo Advisors° does not sell personal information. Information may be shared where reasonably necessary to run the business, deliver services, process transactions, comply with law, or support a corporate transaction.

Service providers

Apollo Advisors° may share information with trusted service providers that help operate the website, host systems, process payments, send email, manage bookings, deliver content, analyse usage, or provide support infrastructure.

Hosting

Vercel hosts the website and application, Neon provides PostgreSQL data storage, and Clerk provides account authentication. These providers process the information needed to deliver and secure their respective parts of Apollo.

Payment providers

Where Apollo Advisors° accepts payment for services, workshops, subscriptions, or courses, payment information may be processed by third-party payment processors. Apollo Advisors° does not store full card details unless expressly stated.

Email providers

Clerk sends authentication and account-security messages. Resend sends Apollo transactional messages such as enrolment confirmations and cohort notices. Apollo Marketing, Conversion & Email v1 does not silently subscribe founders to marketing email.

Analytics providers

Vercel Analytics and, after consent, Google Analytics may process website, route, device, and general interaction information to help Apollo understand performance and public conversion journeys.

Booking provider

Calendly operates the Growth Diagnostic booking workflow. Information entered into Calendly is handled under Calendly's service terms and privacy practices. Apollo provides a direct contact fallback when booking is unavailable.

Business transfers

If Apollo Advisors° is involved in a merger, acquisition, restructure, asset sale, financing, or similar transaction, information may be disclosed to relevant parties under appropriate confidentiality protections.

International transfers

Some service providers may store or process information outside Australia. Where this occurs, Apollo Advisors° takes reasonable steps to ensure information is handled in a manner consistent with this policy and applicable law.

Data retention

Apollo Advisors° retains personal information only for as long as reasonably necessary for the purpose for which it was collected, including to deliver services, maintain records, resolve disputes, enforce agreements, and comply with legal or tax obligations.

Retention periods may vary depending on the type of information, the service involved, the sensitivity of the information, and the legal or operational need for continued retention.

No method of transmission over the internet or electronic storage is completely secure. Apollo Advisors° cannot guarantee absolute security, but it takes security seriously and reviews controls as services evolve.

Third-party services

Apollo Advisors° may use third-party tools, embedded content, booking systems, payment platforms, analytics services, or external resources that have their own privacy practices and terms.

YouTube API services

Apollo Cinema uses YouTube API Services and the YouTube embedded player to display public Apollo Advisors° channel content. YouTube and Google may receive technical information, including browser, device, cookie, playback, and request information, when embedded videos are loaded or played.

Use of Apollo Cinema is also subject to the YouTube Terms of Service and Google Privacy Policy. Apollo does not download or provide offline copies of YouTube audiovisual content.

Children

Apollo Advisors° services are designed for business and professional audiences and are not directed to children. Apollo Advisors° does not knowingly collect personal information from children through its website or core services.

Changes to this policy

Apollo Advisors° may update this Privacy Policy from time to time to reflect changes to services, practices, legal requirements, or platform operations. The updated version will be published on this page with a revised last updated date.
